The Program Registry

A new program is a decision, not a release

Most systems compile their service lines into the software, so adding one means a developer, a deployment and a wait. In SCMS a program is a record. An administrator creates it, names it, activates it — and it appears everywhere a program can be chosen, immediately.

One patient, one chart, many programs

Enrolment never creates a second record. A patient in three programs keeps one medical record number and one chart, and appears in each program's patient list.

Enrolments carry their own state

Each enrolment holds its own status, assigned provider, referral source and discharge detail — so leaving one program does not disturb the others.

Nothing is ever deleted

A program in use is deactivated, never removed. New enrolments stop; every historical record that references it stays exactly as it was.

Security

Built as a health record from the first commit

Not business software with security added afterwards. The audit trail was the first thing built, before any patient screen existed — which is why the very first sign-in to this system is in it.

01 Multi-factor, always

A code from your authenticator app on every sign-in. No session, no patient data and no dashboard until it verifies. Enrolment cannot be skipped.

02 Lockout and idle timeout

Accounts lock after repeated failures. Sessions end after inactivity, enforced on the server — a closed laptop is not an open record.

03 Roles, not exceptions

Thirteen roles, forty-nine named permissions, checked on every request. System administrators hold no clinical access unless a second administrator grants it explicitly.

04 An audit trail nobody can rewrite

Entries are refused for update or deletion by the database itself, for every role including a superuser, and each row is hashed against the one before it so tampering is detectable.

05 Encrypted in transit and at rest

TLS on every connection, encrypted storage for the database and for uploaded documents, which are held outside the web root and served only after an authorization check.

06 Individual accounts only

No shared logins, anywhere. Every action in the record carries the name of the person who took it.

First sign-in

Three steps, once

Your administrator creates your account and gives you a temporary password. Everything after that is yours alone — nobody at SYNERGY can see your password or your authenticator secret.

Set your own password

Sign in with the temporary one and you will be asked to replace it immediately. At least twelve characters, and not one you have used here before.

Enrol your authenticator

Scan the QR code with an authenticator app on your phone, then enter the six-digit code it shows. You will need this app at every sign-in.

Save your recovery codes

Ten single-use codes, shown once and never again. Keep them somewhere you can reach without your phone — each one gets you in exactly once.

Locked out, or lost your phone?

A system administrator can unlock your account and reset your authenticator enrolment. Both actions are recorded in the audit trail.
